Salesforce Admin Interview Questions and Answers (with Real-World Scenarios)

Header image: Salesforce admin interview questions, with two sample question and answer cards about permission sets and relationships.

Hey friends,

Most Salesforce admin interview questions test four areas: security and access, data management, automation, and reporting. Then they test judgment with a scenario. A strong answer names the feature, says why it beats the alternative, and mentions how you'd test it. Below are the questions I'd expect, with answers I'd be happy to hear as an interviewer.

I'm a senior Salesforce developer and I've been on both sides of the table. If you're still working toward your first role, start with how to land an entry-level Salesforce admin job.

Table of what interviewers check in Salesforce admin answers: knowing when not to use a feature, asking clarifying questions, explaining business impact, and testing in a sandbox.

The feature knowledge gets you in the door. The judgment gets you the offer.

Security and access interview questions

What's the difference between a profile and a permission set?

Every user has one profile as their baseline. Permission sets add access on top for specific users. I keep profiles minimal and use permission sets and permission set groups for everything else, so I'm not cloning profiles for every exception.

How would you make sure reps only see their own opportunities, but managers see their team's?

Set the Opportunity org-wide default to Private and use the role hierarchy. Sharing rules can't restrict access, they only open it up.

A user says they can't see a field. How do you troubleshoot?

Check field-level security on their profile and permission sets first, then the page layout for their record type. If it's missing in a report too, it's field-level security, not the layout.

Data management interview questions

When would you use Data Loader instead of the Data Import Wizard?

Over 50,000 records, an object the wizard doesn't support, or a load that needs to run on a schedule. Under 50,000 for a supported object, the wizard is simpler.

How do you prevent duplicate records?

Matching rules define what counts as a duplicate, and duplicate rules decide whether to block or warn. Validation rules are for data quality on fields, not duplicates.

Lookup or master-detail?

Master-detail if the child can't exist without the parent, should be deleted with it, and I want roll-up summaries. Lookup if the relationship is optional or the child needs its own sharing.

Automation interview questions

What's the difference between before-save and after-save flows?

Before-save updates fields on the same record, fast, with no extra save. After-save is for other records, emails and actions.

A manager wants new high-priority cases routed to Tier 2. How?

An assignment rule to the Tier 2 queue. I'd only reach for Flow if the routing logic is beyond what assignment rules support.

How do you deploy changes safely?

Build and test in a sandbox, get the business owner to test too, then deploy with a change set or the CLI. I keep a short rollback plan for anything risky.

Reports and dashboards interview questions

Two managers run the same report and see different totals. Is that a bug?

No. Reports respect sharing, so each manager sees records their role and sharing give them.

How would you build one dashboard for 40 reps that only shows each rep their own numbers?

A dynamic dashboard, so each viewer sees data as themselves. Otherwise you'd need a dashboard per person.

Scenario questions (practice these out loud)

These are open-ended on purpose. Ask one clarifying question, give your approach, then name what you'd test.

  1. Sales wants a required field, but only when Stage is Closed Lost. What do you build?
  2. Leadership wants a weekly email of stalled deals. Walk me through it.
  3. An integration is creating duplicate accounts every night. Where do you start?
  4. A flow is failing for some users but not others. How do you debug it?
  5. You inherit an org with 40 profiles. What's your cleanup plan?

Hints: a validation rule with a condition on Stage (not a page layout); a report subscription with a filter on last activity; duplicate and matching rules plus the integration user's settings; debug the flow as an affected user and check their permissions; and move exceptions into permission sets.

The non-technical questions

  • Tell me about a time you said no to a stakeholder. Show you offered an alternative.
  • How do you prioritize requests? Business impact and effort, and you tell people where they stand.
  • How do you keep up with releases? Release notes, Trailhead, and testing new features in a sandbox.

How to prepare in a week

Hope this helps!

Best,

Nick
